Petrolimex officially operates DOffice - the digital office solution

On November 13, 2023, in Hanoi, the Vietnam National Petroleum Group (Petrolimex/Group) officially launched the Digital Office application (Petrolimex Doffice) on the mobile platform.

Secretary of the Party Committee - Member of the Board of Directors - General Director - Head of the Digital Transformation Implementation Division Dao Nam Hai chaired the program with the participation of the Permanent Deputy Secretary of the Party Committee of Petrolimex, Dang Tran Hieu; the entire leadership of the Group and leaders, managers at all levels from the Group, the Corporation, and subsidiaries of the Group, along with all members of the Digital Office Deployment Team.

On the consulting unit side, the application development company is Vu Thao Technology Joint Stock Company, led by Director Luong Minh Tuan.

In the context of evolving technology, business environment, and energy trends, the digitization of processes and office utilities is one of the first steps in Petrolimex's comprehensive digital transformation initiative. The goal is to optimize processing time, enhance management efficiency, manage document systems, tasks, and resolve work in the digital environment. This also includes adding features and functionalities to improve user experience on the mobile platform through the Digital Office application.

Over the years, the Group has integrated information technology and digitization into its management and business operations. To continue leveraging the achievements of Industry 4.0, meeting the requirements to enhance production and business efficiency and increase the competitiveness of the enterprise, the Group has meticulously prepared a digital transformation strategy in line with the Party and Government's directives and policies.

The Petrolimex Board of Directors has approved the Group's Digital Transformation Strategy until 2025, with a vision towards 2030. The strategy aims to establish a digital culture and workforce, with three basic solution groups to meet enterprise management, goods management, and customer management requirements. The Digital Office is one of the key solutions to address enterprise management needs.

Deputy Secretary of the Party Committee - Member of the Board of Directors - General Director - Head of the Implementation Committee of Petrolimex's Digital Transformation, Dao Nam Hai, shared: "The Group has deployed and put into operation the eOffice electronic office system across the Group and its member units since 2016, but the effectiveness has been limited. Recently, the Group has collaborated with partners to refine and upgrade eOffice to DOffice - a paperless digital office, which has now been completed and officially launched on mobile devices. The initial results will serve as a basis for further development of features, utilities, and expansion of applications in the future." To make Doffice a truly digital office, the General Director recommends that the Digital Office Deployment Team and partners continue to coordinate to meet the directions, goals, and requirements, such as:

Direction: Doffice must center around Petrolimex employees; create a digital working environment, contributing to building a digital culture and workforce.

Goal: Standardize all working processes at the Group's Office and member units; deploy, manage, operate, and support synchronized usage on a common digital platform of the Group.

Requirements: Doffice helps Petrolimex employees handle tasks in the digital environment anytime, anywhere; save time, effort, and costs; contribute to increasing productivity and efficiency in business management; establish a collaborative and professional working environment, with close coordination, connectivity, synchronization, and uniformity from employees, workers to departments, units, and the Group, following standardized and unified procedures.

Based on the goals and requirements set with a spirit of resolute and urgent implementation, the General Director proposes:

All delegates participating in the Golive Program for the Digital Office application focus on listening to the initial results from experts directly involved in designing the eOffice system, which has been adjusted and upgraded to DOffice as per the Group's requirements. This includes highlighting new features, utilities, and supplementary versions on mobile devices.

After the Golive ceremony, all delegates attending the conference should install the Petrolimex DOffice app, evaluate, provide feedback so that the Digital Office Deployment Team and partners can absorb and enhance new features and utilities as soon as possible. They should also continue to closely coordinate and resolutely improve the Digital Office with more features, smarter functionalities.

The Group's Board of Directors/Leaders of the Group's Departments/Chairpersons, General Directors, Heads of the Digital Transformation Steering Committee at member units are interested and give strong guidance, serving as examples in using DOffice to promote the change of old habits, form new habits, new thinking, proactivity, dynamism, and creativity. They should help establish a digital environment, digital culture, and a digital workforce in each unit/area they are assigned to oversee.

Receiving the guidance of the General Director, Deputy General Director Nguyen Ngoc Tu, on behalf of the Digital Office Deployment Team, commits to closely aligning with the goals and requirements outlined, with key implementation priorities as follows:

The Digital Office application will continue to be disseminated to all departments and individuals in various units for a shared understanding of viewpoints, visions, goals, requirements, tasks, and solutions.

The Digital Office application must be maximally used in all stages, from document management, human resource management, file management, payment proposals, etc., aiming for the comprehensive digitization of processes and office utilities based on 4.0 technology.

The Digital Office application must be regularly improved in processes, updated with new, versatile, easily accessible, user-friendly features, providing a high level of utility to enhance work efficiency, data management, information management, etc.

Deputy General Director - Head of the Digital Office Deployment Team of the Group recommends that the heads of each member unit, who are also the Heads of the Digital Transformation Steering Committee/Implementation of Digital Transformation, continue to guide their units to study, build, provide suggestions, and propose improvements to the Digital Office application that are suitable for the actual situation at the unit. This will contribute to the implementation of the Group's common Digital Transformation Strategy.
